Regulations of the Flexographers’ Conference 2025
- Organizer: The organizer of the Flexographers’ Conference 2025, hereinafter referred to as the „Conference,” is the Polish Chamber of Flexographers, located at T. Borowskiego 2, Suite 311, 03-475 Warsaw, hereinafter referred to as the „Organizer.”
- Date of the Conference: March 24–26, 2025
- Venue: Airport Hotel Okęcie; ul. Komitetu Obrony Robotników 24; 02-148 Warsaw
- Applicability: Every person who has received electronic confirmation of registration for the Conference or is present at the venue where the Conference is held is obliged to comply with these Regulations.
- Purpose: The purpose of these Regulations is to ensure the safety of the Conference by defining the rules of conduct for individuals present at the Conference and their use of the venue where the Conference is held.
- Payments: The total fee will be calculated after completing the form on the Conference registration page. The fee for participation in the Conference should be transferred to the bank account of the Polish Chamber of Flexographers indicated on the invoice received electronically.
- Accommodation Costs and Conditions at Airport Hotel Okęcie:
- Reservation and Costs: Participants are responsible for booking and covering the cost of rooms on their own. Reservations can be made by sending an email to the dedicated hotel email address provided after the registration process.
- Special Rates for Participants (guaranteed with the password received after registration):
- Single Comfort Room with breakfast: 365 PLN net per night + 8% VAT
- Double Comfort Room with breakfast: 415 PLN net per night + 8% VAT
- Single Business Room with breakfast: 425 PLN net per night + 8% VAT
- Double Business Room with breakfast: 475 PLN net per night + 8% VAT
- Parking:
- Outdoor parking: 30 PLN gross per day
- Underground garage: 50 PLN gross per day
- Hotel Stay Duration: The hotel day starts at 3:00 PM on the day of arrival and ends at 12:00 PM the next day.
- Alcohol Policy: Bringing alcohol purchased outside the hotel premises is prohibited during the Conference.
Note: The number of rooms is limited. Reservations will only be possible if rooms are available.
- Registration for the Conference:
- Access: Participants can access the event venue after registering online on the event website, receiving electronic confirmation of registration, and accepting these Regulations.
- Registration Deadline: Participants are required to register by February 28, 2025. After this date, registration will only be possible if there are available tickets.
- Confirmation: Participants confirm their reservation by paying the Conference participation fee.
- Upon Registration, Participants:
- Data Processing Consent: Consent to the processing of personal data provided in the registration form by the Polish Chamber of Flexographers and other authorized entities for purposes related to the organization and participation in the Conference, in accordance with the Personal Data Protection Act of August 29, 1997 (i.e., Journal of Laws of 2016, item 922, as amended). This consent also includes future data processing, provided the purpose remains unchanged. Participants acknowledge that the Organizer is the data controller and that they have the right to access and correct their personal data. Providing this data is voluntary but necessary for participation in the Conference.
- Image Use Consent: Consent to the use of their image by the Organizer or other entities on behalf of the Organizer, including reproduction by any means, distribution, and publication in the press, brochures, leaflets, electronic media in connection with the organization, participation, reporting, and documenting of the Conference as needed. Participants acknowledge that the Organizer is the data controller in this regard and that they have the right to access and correct their personal data. Providing this data is voluntary.
- Liability: The Organizer is not responsible for items belonging to Participants that may be damaged, lost, or stolen during the Conference.
- Participant Responsibility: Participants are fully materially responsible for any damage they cause at the Conference venue or accommodation.
- Compliance: Participants are required to adhere to generally applicable health and safety regulations, fire safety regulations, sanitary regulations, administrative regulations, and internal hotel regulations.
- Alcohol Policy: Bringing and consuming alcohol purchased outside the hotel premises is prohibited during the Conference.
- Final Provisions:
- Acceptance: By registering for the Conference, Participants accept the provisions of these Regulations and agree to comply with them.
- Organizer’s Rights: The Organizer reserves the right to make changes to the Conference program and these Regulations.
- Unforeseen Matters: In matters not covered by these Regulations, the Organizer’s decisions apply.
